The digitalization of the buffet has become a priority for many hotels looking to improve food safety, reduce operational errors, and offer guests a clearer and more modern experience. Still, before taking the step, it is normal for questions to arise: from how the system works to what technical requirements are needed or how the labeling is managed on a daily basis. In this guide, we compile the most frequently asked questions with clear and practical answers.

What do I technically need to install a digital labeling system?

The installation is very simple. You only need a power outlet to connect the antenna and internet access, usually the hotel’s own network. The labels work wirelessly, so no additional wiring, construction work, or complex infrastructure is required. In just a few minutes, the system can be up and running in the buffet.

Do I need technical knowledge to use the application?

No. The BuffetSmart application is designed for any team member to use without complications. With a short training session, kitchen or F&B staff can update dishes, allergens, translations, or diet icons autonomously. In addition, at Sincroni we provide ongoing support to answer questions and ensure smooth operation from day one.

How are the digital labels powered?

The labels do not need plugs or cables. They run on a long-lasting internal battery, between 5 and 7 years.

Thanks to their e-ink technology, they only consume energy when the information is updated, ensuring stable operation and virtually no maintenance.

Does digital labeling guarantee compliance with European allergen regulations?

Yes. Our system guarantees compliance with Regulation (EU) 1169/2011, which requires clear, visible and accessible information about the 14 mandatory allergens. Digital labels display this information consistently and always up to date, reducing risks and avoiding errors common with manual signage.

Additionally, you can add 2 or even 3 translations for each dish, which is especially useful for hotels with international guests. At Sincroni, we design the interfaces to measure, adapting typography, icons, and information layout to each hotel’s brand identity.

Can I use digital labels if my buffet has sneeze guards or custom-built structures?

Yes. The labels can be integrated into buffets with sneeze guards or custom furniture. At Sincroni, we design supports and formats adapted to any type of structure—metal, wood, glass, or special designs. This ensures consistent aesthetics, stable placement, and maximum visibility for guests.

What happens if I change a recipe or ingredient? How do I update the information?

Changes are made very quickly from the application. You simply edit the dish from your mobile, computer, or tablet, and within seconds all labels update automatically. This simplifies daily operations, reduces manual tasks, and ensures the buffet information is always accurate and consistent.

What happens if the WiFi goes down or the hotel connection fails?

The labels continue displaying information normally. Each label has internal memory, so it keeps the information visible until the connection is restored. In addition, our system generates preventive alerts that help detect issues before they affect service.

Can we have multiple users with different permissions?

Yes. The system allows you to create users with different access levels depending on each team member’s role: kitchen, F&B, operations, or management. You can define who can edit, approve changes, or simply view information. This helps maintain order, security, and control at all times.

Can we manage several buffets or even several hotels from one account?

Yes. The platform allows you to manage multiple buffets— and even multiple hotels —from a single dashboard. You can organize spaces by zones, services, or properties, which is especially useful for hotel groups and resorts with several gastronomic areas. This ensures visual consistency and makes coordination easier between teams.

Can I schedule menus by days, weeks, or seasons?

Yes. BuffetSmart allows you to schedule menu rotations for 1 or 2 weeks, full seasons, or special dates. This automation reduces repetitive tasks, simplifies internal planning, and ensures buffet information is always aligned with the hotel’s operational calendar.

Digital labeling in hotel buffets not only helps comply with food regulations: it transforms operations, improves the guest experience, and frees up valuable time for the team. A system like BuffetSmart provides clarity, reliability, and a presentation aligned with the hotel’s brand. If you’re considering moving to a more modern and efficient labeling system, these key questions will help you understand how it works and what benefits it brings.
